What the modules do in each sector

The four building blocks are the same everywhere. What differs is which enquiries come in by phone and which systems sit behind them. Five variants from our work:

Housing sector and cooperatives

Emergencies, damage reports, complaints, flat searches: the enquiries repeat, but they rarely arrive during office hours. At WBG Schwarzheide eG, with around 1,720 rental units, the voicebot “Moni” answers calls around the clock and records damage reports in structured form at first contact – on the existing NFON cloud telephony, without a new phone system. At a cooperative with more than 200 staff, seven process types run automatically. Pre-qualification is what makes the difference: in the morning the service team reads structured reports instead of working through callback notes.

Estate agents and property management

Viewing requests come in during the evening and at weekends, and whoever does not pick up loses the enquirer to the next listing. The chain voicebot → Timum → onOffice takes the request, checks free slots in the calendar and files the appointment with contact details in the CRM. The enquirer gets confirmation during the call and the back office has nothing to enter afterwards. For rental enquiries the same flow can be combined with pre-qualification, so only relevant enquiries reach the inbox.

Trades and out-of-hours services

In the trades the phone often goes unanswered because nobody is in the office – the fitters are with customers. The voicebot takes jobs outside business hours, records the address, the trade required and the urgency, and separates the genuine emergency from the enquiry that can wait until Monday. Emergency calls are routed with priority; everything else arrives as a complete record in job intake. Proposed times can be matched against the technicians’ calendar.

Healthcare and social care

In practices and care facilities the switchboard ties up staff who are needed with patients. Appointment booking, repeat prescriptions and information about opening hours run automatically, while emergency detection puts urgent calls straight through to the doctor on duty. Because particularly sensitive data is involved, the technical basis matters: botario is used by more than 100 companies in sectors with the strictest data protection standards.

Law firms, tax advisers and public administration

Enquiries about new instructions need structure before anyone invests time. The bot records the matter, the area of law and any deadline, coordinates appointments with the responsible solicitor and pre-qualifies initial consultations. Confidential details are captured in a GDPR-compliant way. In public administration the same approach works for standard enquiries, which today make up half of all calls.

The bot builds on your existing telephony; with NFON Cloudya there is no need to change the system. Calendar, CRM and ticketing are connected through interfaces so data ends up where your team already works.

Refine in operation

After launch we listen to where conversations break off or callers ask again, and adjust wording and handover rules. Anything the bot cannot answer reliably goes to a person – by design, not as a fallback.
