Use cases for intelligent voice assistants
See how companies in different sectors use voicebots to be more reachable, cut costs and raise customer satisfaction.
Medical practices & clinics
Appointments around the clock, emergency detection and automatic routing to the doctor on duty. Shorter waiting times on the phone.
Trade businesses
Job intake outside business hours, coordination of out-of-hours work and automatic scheduling. No more missed jobs.
E-commerce & retail
Order status, product advice and complaints handled automatically. Standard enquiries taken off the customer service team.
Property management
Automatic viewing appointments, rental enquiries and damage reports. Tenants always reach someone, including at weekends.
Solicitors & tax advisers
Client enquiries recorded in structured form, appointments coordinated and initial consultations pre-qualified – with GDPR-compliant communication.
Building & facility management
Fault reports taken, contractors coordinated and tenant enquiries handled. One point of contact for everything.
How a call works
Sectors differ in the enquiries, not in the sequence. Every conversation follows the same four steps – what happens behind them depends on your systems.
Answer and greet
The call is answered immediately, even if ten others come in at the same time. If the number is known, the contact record is already there. No hold queue, no voicemail.
Understand the request
The caller says in their own words what they need. The bot assigns the request to a process and asks for exactly the details required – address, customer number, preferred time.
Complete or hand over
Information, bookings and status enquiries are completed during the call. Anything urgent or unclear goes to the right person together with the context already captured – the caller does not have to repeat themselves.
File it in the system
Appointment in the calendar, report in the ticket system, contact in the CRM. Through botario’s interfaces, CRM, ERP and HR systems can be connected and external workflows triggered.
What a voicebot does not do
A voicebot is good at what repeats: same question, same sequence, clear data. In most businesses that is where the majority of calls sit.
Advice, negotiation and sensitive conversations belong to people. That is why handover is not an exception but part of the process: the bot recognises when a request falls outside the pattern and puts it through, along with everything it has captured.
Anyone planning the bot as a replacement for their team will be disappointed. Anyone putting it in front of the team wins back the time currently spent on callback notes.
What you need in place
-
Telephony that plays along. On NFON Cloudya the bot builds on your system without replacing it. Other cloud systems we check case by case.
-
Reachable target systems. Calendar, CRM or ticket system need an interface. If there is one, botario can work with it.
-
Clear responsibilities. Where an emergency goes and who handles a damage report has to be settled beforehand – the bot makes existing ambiguity visible.
-
A manageable start. Two or three processes to begin with works well. More follow once the first ones hold up in daily use.
