Recap: onOffice business-beats 2026 in Aachen with a voicebot for estate agents

8 May 2026 • Reading time: 4 min • By Zöllner Office

On 8 May 2026, onOffice hosted business-beats for the eleventh time. The venue was once again DAS LIEBIG in Aachen, and almost everyone in the audience worked in real estate. Zöllner Büro- & IT-Systeme GmbH exhibited on site and brought along a topic that costs estate agencies time every day: the phone.

Under the motto “Rethinking business communication”, our team showed how NFON cloud telephony, an AI voicebot and the onOffice agent software come together as one continuous workflow.

More exhibitors and a second stage

Nearly every talk returned to the same question: which processes in an estate agency can already be automated with artificial intelligence? New this year was the Gold Stage, a second stage next to the Main Stage where onOffice partners presented.

The exhibition grew as well. More than 40 companies showed their products, more than in any previous year. In the evening the programme moved straight into the after-show party with live music.

From phone call to appointment without retyping anything

Our stand focused on one specific workflow. A prospective buyer calls the agency, for example about a viewing. Instead of voicemail, the voicebot answers, asks what the caller needs and records the details. Through interfaces it accesses onOffice enterprise and the timum booking system.

The enquiry then shows up in the agent software and the appointment is in the calendar. Nobody in the office has to copy a note into the system. Agents returning from a viewing find cases that are already logged instead of a list of callback requests.

Telephony, assistants and bots from one partner

The technical foundation is NFON cloud telephony, either as a cloud PBX or SIP trunk. Intelligent assistants such as Nia and voice and chat bots for the contact centre build on top of it. Zöllner sets up the components, develops the interfaces in-house and remains available as service partner afterwards. Agencies do not have to coordinate several providers.

Uwe Ortlepp shares his experience

Uwe Ortlepp joined us at the stand. He works in mortgage advice, uses onOffice and has been running our voicebot in daily business since December 2025. Visitors could ask him directly how the bot behaves on calls, which tasks it handles and where a person is still needed. Our case study describes his setup.
